Verus People is a specialist healthcare recruitment agency operating in a sector where compliance, speed and reliability are critical. Healthcare staffing requires organisations to coordinate clinicians, facilities and credentials in real-time, often under strict regulatory frameworks.

To support this, Verus partnered with 3B to implement a Salesforce-native workforce management solution, designed to improve shift scheduling, candidate engagement and operational efficiency.

The result has been a collaborative partnership that has helped Verus modernise its scheduling operations while maintaining the rigour required in healthcare staffing.

The Challenge

Before working with 3B, Verus relied on a CRM-integrated scheduling tool that was not delivering the level of usability or engagement the business needed.

While the platform technically existed, it was not being effectively adopted by candidates and was limiting the team’s ability to manage shifts efficiently.

Key challenges included:

A scheduling tool that was not purpose-built for healthcare staffing workflows

Limited candidate engagement with the platform

Missed opportunities when clinicians overlooked shift notifications

Operational friction for internal teams managing availability and coverage

Healthcare recruitment also presents an additional challenge. The industry is highly regulated and built around processes that organisations have followed for many years. This makes rapid digital adoption difficult, even when better tools are introduced.

Verus needed a system that could improve operational efficiency while still fitting naturally into the realities of healthcare staffing.

A Collaborative Implementation

Verus selected 3B to implement its Workforce Management solution within their Salesforce environment.

From the outset, the implementation process was designed to be collaborative. The Verus leadership team, operations stakeholders and end users were all involved in shaping how the platform would realistically work within the business.

Weekly working sessions between Verus and the 3B team ensured the solution was configured around real operational requirements.

Larissa Barr, Sophy Tohi and other team members provided input throughout the build process, alongside operational staff and Salesforce administrators. By welcoming these perspectives at the right stages of the implementation, 3B helped ensure the final system reflected how the business actually operates.

Owen Terry, who was involved in the original scoping process, noted that the early planning phase with 3B was one of the most effective implementation experiences the team had had, helping establish a strong foundation for the project.

Because Verus employees had been involved throughout development, internal adoption was impressively smooth when the system launched.

Improving Shift Visibility and Candidate Engagement

Since launching the 3B Workforce Management platform, Verus has seen steady improvements in candidate engagement and operational efficiency.

Clinicians now use the 3B mobile web app to:

Provide their availability to receive shift notifications

View available shifts and register interest

Track their assigned shifts

Make note of completed shifts

Direct link through to payment portals

One of the most impactful features has been the ability for candidates to search and claim available shifts directly. Previously, clinicians relied heavily on shift invitations. If a notification was missed, the opportunity might never be seen. With the new system, candidates can log into the portal at any time and immediately view live shifts. This has widened exposure to available roles and helped increase the speed at which shifts are filled. Currently, approximately half of candidates are actively using the shift search function to claim work directly, giving clinicians more autonomy while helping Verus reduce unfilled shifts.

In healthcare staffing, where roles often need to be filled quickly to maintain continuity of care, this level of visibility is essential.

Fast, accurate, high-quality candidates

Platform data shows an average time from shift release to confirmed fill of just 13 minutes. The platform’s shift search functionality drives strong candidate engagement, with a high volume of workers actively interacting with available shifts. Verus are also seeing low rejection rates of low single digits, indicating strong alignment between candidate skills and role requirements. This is down to targeted matching and shift invitations, enabling immediate, focused outreach to specific candidates whose skills, location, and availability align with the role. With 3B’s engaging interface, the ability for candidates to search and manage their own availability supports a better-fit selection, in turn contributing to the quick time to fill rates and more reliable shift fulfilment & attendance.

Operational Efficiency Behind the Scenes

The new scheduler has also delivered improvements for Verus’s internal teams. Backend scheduling processes are now more streamlined, giving recruiters and operations staff greater visibility of available shifts and candidate interest. The platform enables a broader pool of candidates to discover and claim shifts, even if they were not originally included in the first invitation list. This improves shift coverage and reduces reliance on manual follow-ups.

Candidate Attendance and Engagement

The search functionality for available shifts has been well received by candidates, giving them greater visibility and control over shift selection. The ability to input availability within the system further supports engagement and alignment with suitable roles, contributing to strong attendance – with opportunity to further enhance the availability feature as the platform continues to evolve.

A Partnership Built on Collaboration

A defining aspect of the Verus and 3B relationship has been the collaborative nature of the partnership, with Larissa Barr and Sophy Tohi both highlighting the responsiveness and openness of the 3B team, particularly Gui (Implementation Lead) and Jason (Customer Success Officer), throughout the implementation and ongoing support process. The teams maintain regular communication and share feedback openly, with ideas and suggestions frequently incorporated into the platform. Larissa explained that the relationship is characterised by mutual respect and a shared commitment to improving how healthcare workforce management operates, noting that Verus believes 3B genuinely has the interests of both their organisation and the wider healthcare recruitment industry at heart. Both teams share a common goal of improving the way healthcare staffing works and enjoy collaborating to deliver better outcomes for recruiters, clinicians and healthcare providers.

Following the success of the workforce management implementation, Verus has begun exploring additional capabilities within the 3B platform, including the use of 3B Forms within their Salesforce environment. With a strong foundation now in place and a collaborative partnership established, Verus continues to work with 3B to refine workflows, increase utilisation and support the evolving needs of healthcare staffing.
